Meet Logistics:

  • Clerk of Course: Mite parents, coaches and officials will be the only people allowed into the area sectioned off on the far side of the competition portion of the pool. Swimmers will walk through the back gate closest to the tennis court or through the covered porch at the end of the pool (opposite the blocks) to get to the clerk of course. Please see the map below for the traffic flow pattern. Swimmers will move counterclockwise around the pool to get to the CoC.
  • Diveovers: We will implement diveovers for 9 and older swimmers to keep the meet running efficiently.
  • 8 & Under Relays: We will implement in-water starts at the shallow end of the pool for legs two and four of relay events.

Pool Deck/Observation Details: There will be designated spots for WaveRiders and visiting team families to sit. Please see the map below of the RounTrey Pool for specifics or click here. Please do not place chairs in the observation areas. We are trying to make sure all families have a good view of their swimmer(s) during their specific heats by having standing-room-only observation areas. Some of the seating will be outside of the pool deck in grassy areas. Bring chairs, pop-up tents, and bug spray! Some rules and other information:

  • Tents are not allowed on the pool deck. You are welcome to set up your chairs and tents in the grass around the pool.
  • We will broadcast events through a PA system.
  • You are welcome to tailgate and set up camp at your car. Please do not block traffic or save spaces for friends.
  • RounTrey's tennis courts cannot be used during meets.
  • The swimming pool is closed to the public. Spectators ARE NOT allowed to enter the pool - including the baby pool - or wade in the zero-entry area.
  • Swimmers and spectators ARE NOT allowed inside the clubhouse. Only meet officials and volunteers whose responsibilities are inside the clubhouse are allowed to enter.
  • Restrooms are located on either side of the lifeguard station – women’s on the left, men’s on the right. The clubhouse restrooms are not for swim team or spectator use.
  • No alcohol, tobacco, or nicotine products are allowed on the pool deck during the meet. We encourage all users of tobacco and nicotine products to do so away from all swimmers and spectators.
  • Families, PLEASE help us and the lifeguards keep the pool deck clean. Throw away your own trash and clean up any leftover food or spills as they happen. Thank you!

Food/Concessions: We will have Kona Ice and Westray's Finest on site. We will also have a concession stand selling drinks, snacks, chips, candy, pizza, grilled burgers/cheeseburgers, and hot dogs. Payment at the concession stand is with cash or card. Other vendors will accept their typical forms of payment.

Volunteers: Please check in at the sign-in table at the RounTrey Pool main entrance. You will receive a name tag with your name and volunteer role. There will be a timers meeting and strokes and turns meeting occurring around 6:00PM, so please listen for the meeting announcement over the PA system. The switch from 1st to 2nd half will happen after event 33. Thank you in advance for your help!

Inclement Weather Protocol: In the event of inclement weather, all reasonable efforts will be made to conduct the meet in a safe and timely fashion. Coastline Aquatics is RounTrey's pool management company, and their rules prevail when determining if it is safe to conduct the meet. Coastline will provide guidance to each team’s Parent Representative if the pool and/or pool deck must be cleared and for how long. Coastline has established protocols to follow and adherence to those rules is non-negotiable. If the meet is unable to continue, the team representatives will discuss rescheduling, if feasible.

We are very excited to host Waveriders for the fifth meet of the season! Here is all the info we think you need. A lot of this information can be found here.

Address: 7601 Magnolia Green Pkwy, Moseley, VA 23120. We are an 8 lane yard pool.

Parking: I’ve included a detailed plan to clarify parking and set up arrangements for chairs, tents, and other necessities. Since deck space around the lap pool is limited, both teams will set up in the parking lot. Per the attached map, no vehicles are permitted in the main parking lot on the far right side of the pool. To help manage traffic flow, we’ve hired police officers, and there will be a designated drop-off loop on the playground side for convenience, as most families will need to park and walk. Carpooling is highly encouraged to ease congestion. The attached map outlines designated parking areas and clearly marks restricted zones. Please remind your families that vehicles parked in prohibited areas will be subject to towing by the HOA.

Weather Policy - Based on radar activity, we will meet with our pool management company to determine whether conditions allow us to restart the meet. No restarts will occur after 9:00 PM, and we cannot resume if we have already been out of the water for 45 minutes. Any decision to re‑swim the meet requires HOA approval. While we follow CAL’s rescheduling policy, final decisions are at the discretion of the HOA and pool management, not the team.

Timeline

Warmups: CANCELLED

Meet Start: 5:30PM

8U Relays - During 8 & Under Relays, swimmers MUST start in the water on the end closest to the lifeguard stand due to pool depth.

Timer and Strokes and Turns Meeting -Timer and strokes and turns meeting will be held at 5:15pm. Volunteers for this meet should enter though the main gate and will be told where to go from there. **We also ask that both first half as well as second half timers as well as strokes and turns judges attend the meeting at 5:15PM if possible. All other volunteers should be on deck by 5:50pm. They should also enter through the main gate and will be directed where to go from there.**  Update: They have requested 1st half volunteers report from 4:30-5PM and 2nd half from 5-5:25PM.

Pool Deck/Observation - We will have a designated watch area located on the playground side and in front of the main clubhouse. Parents are encouraged to watch their child(ren)’s event and then return to the parking lot to allow other families an opportunity to spectate. Chairs are not permitted in this area, and a deck monitor will ensure that no one is camped out.

When your child is swimming, you may enter the watch-and-go area through the gate on the playground side, watch their event, and then exit through the other gate. This area is strictly for viewing your child's event—please watch, then clear out to allow space for other parents.

While we love seeing swimmers cheer on their teammates—especially during exciting heats—we must ensure that the viewing area remains open and unobstructed for all spectators.

A parking lot announcer and number flippers will display which events are being clerked and which are currently in the pool. Our announcer’s speakers can project well into the parking lot, ensuring parents can hear event updates clearly. Please remind parents that they are responsible for making sure their swimmers arrive at the Clerk of Course on time.

Bathrooms -The bathrooms at the main entrance will be open for use. Only people using the bathrooms should enter through the main entrance.

Concessions - ALL FOOD TRUCKS HAVE BEEN CANCELLED DUE TO WEATHER.  Please bring your own food!

Dive Overs and Hot Heats

We will be doing dive- overs for starts as well as hot heats. (Random heats will be selected to be a “hot heat” - during these heats, we encourage people to make their own signs and cheer loudly for the kids in the heat. The swimmer who wins a “hot heat” will win a prize!)

The meet will start at 6:00 PM. We will not be hosting a kickboard/ripple race.

Officials and Timers Meetings: There will be an Officials (Strokes and Turns) meeting led by our Meet Referee (Blake Bowen) at 5:40 PM adjacent to the computer table. A Timers meeting will be held at 5:45 PM behind the starting blocks.

FoxCreek Parking Directions: Please see attached map for available parking areas. We try to leave our parking lot for your team, but it does fill up fast and we have to leave spaces for our residents using the gym. Parking is also available in the lot directly across from the pool. We also have parking available as overflow parking in the field adjacent to the pool parking lot. Please be courteous and pick up any trash around your vehicle before leaving.

**Please let your team know that they cannot park on FoxCreek Crossing (the main road into the subdivision). Cars parked on FoxCreek Crossing will be asked to move.

Pool Seating: (see attached map)

When you come into the pool deck from the gate, we have reserved the deck area to the right for your team. Please encourage your parents to bring chairs, extra blankets/towels for seating and tents if desired. We have some deck seating, but it is limited. Overflow seating will be provided in the grassy areas surrounding the pool deck directly behind your designated seating area. Please make every effort to remind your team to pick up trash and personal belongings before leaving for the evening.

Weather: In the case of weather, the FoxCreek policy is a 30min delay for thunder - 45min for lightning. Should the situation not improve - the decision on the progression of the meet will be a collective decision amongst the FoxCreek Parent Rep/Board Director/Head Coach and Magnolia Green Parent Rep/Board Director/Head Coach. Communication should be handled about any delays directly to team members by the respective teams. Should there be a delay - pls meet in the FoxCreek clubhouse. The door is just to the right past the concession stand.

Concessions/Food Trucks: Come hungry!! We will have Timber Pizza, Arroz RVA, The Faithful Lemon, The Green Apple and Kona Ice on site Tuesday evening. The food trucks will be located in front of the clubhouse. In addition to the food and dessert trucks, we will have light concessions available for sale including drinks, snacks, candy, etc. Our concessions table will accept Cash and Venmo.

*We will also have “SHOUT OUTS!” available for purchase for $1 at the Concessions table. Cash and Venmo will be accepted.

The clubhouse address is 3500 Ashwell Drive, Midlothian, Virginia 23113. The pool is actually located off Sherfield Drive. Specific directions are on our website TarringtonTigerSharks.swimtopia.com.

Parking
To get to the larger parking lot for the pool, go through the traffic circle in front of the clubhouse, and then take your first left onto Sherfield Drive. The parking lot will be down the hill, and on the left. If both lots are full, please feel free to park on Sherfield Drive (over on the pool side of the street, to avoid blocking traffic) or on Ashwell Drive. We usually don't have a problem with sufficient parking, but if your team has any issues, please let us know. Please do not park in the traffic circle as emergency vehicles will not be able to pass and CCPD will tow. Map attached.

Pool Seating
Make yourself at home! Tarrington sits on the clubhouse side of the pool. There are some chairs already on deck, but we would encourage you to bring blankets and/or camp chairs as well, just to make sure that everyone is comfortable.

You are also free to bring tents or umbrellas if you would like. We do ask you not to drag around the chairs and tables, we try to leave them in the approximate area they are already located.

Heat Sheets
Heat sheets will be available electronically on Swimtopia and a copy will also be posted on our team website. Hard copies will be available at the pool for your coaches and the officials.

-No one is permitted in the baby pool area or adult pool during swim meets. Also, only swimmers can be in the water and only during their warmups or races. This will be strictly enforced by our lifeguards.

-Per Safe Sport, only athletes, officials and timers behind the blocks. No photography or videography during the starts.

-Please let your older swimmers know that we do dive-overs for our starts.

We are so excited for our Season Kick-off Pool Party (Thursday, May 28th)!! Please read this info in its entirety if your family is attending this event! Lots of important information!

  • When: THURSDAY, May 28th from 6PM to 8PM (THIS IS A CHANGE)
  • Where: The ROUNTREY POOL
  • What: Please have kids in their swimsuits as the pool will be open! Adults can swim too! There will be lifeguards in attendance. 
  • What to bring: Towels, goggles, chairs/blankets, bug spray, sweatshirt (it may be on the cooler side). PLEASE NOTE: As overflow to seating, if needed, you may set up chairs outside of the pool in the grassy areas.
  • Parking: Park in the parking lot surrounding the Rountrey pool and clubhouse. If that lot is full, please park along the roads outside of the parking lot. Please do not park directly in front of a resident's home/driveway or on a resident’s lawn.
  • RSVP: by Monday 5/25.  When RSVPing please only add guests if you have additional siblings/family attending. 

Other Important Info:

  • Soon upon arrival to the pool, PLEASE make sure you stop by the table at the front of the gate to sign your swimmer in!
  • We will be providing Gino's pizza (cheese) – lines will start to form at 6PM (and will go until 7PM). We will also have water,  and soda.
  • Bathrooms: please use the bathrooms accessible from the pool deck, bathrooms inside the clubhouse will NOT be available.
  • Inside the clubhouse is off limits with the exception of the suit fitting.  IF YOU PLAN ON GOING TO THE SUIT FITING YOU MUST DO SO BEFORE YOUR SWIMMER GOES INTO THE WATER.
  • Open swim will be from 6-8:00PM. There will be pool toys floating around for the kids to play with. Please NO DIVING into the pool. Please NO RUNNING on the pool deck.
  • PLEASE NO FOOD OR DRINKS in the pool (also to note, this is an alcohol-free event).
  • At the end of our evening around 8PM, please bring all your trash to the trash cans. This will help us tremendously with clean up and breakdown.
